Summary/Position Overview:

The Risk & Revenue Assistant will work as part of the Risk and Revenue Team and will provide confidential, professional, and competent support.

POSITION OVERVIEW:

They are responsible for the efficient operation of the team by providing a variety of administrative and support duties including maintaining the department’s databases and files, accurate monitoring, and validation of billing accounts, interpreting billing data and identifying inaccuracies, organizing, and scheduling meetings, drafting written communication, and acting as a liaison on behalf of the department with other departments. They will assist with policy development, legal and regulatory compliance, audit functions, security functions, revenue protection and collection and human resource protection.


Duties and Tasks:

Administration by:

  • Provide comprehensive administrative assistance to the Risk and Revenue team, including managing emails, correspondence and reports.
  • Recording and reporting information and maintaining the department’s database system, spreadsheets and files.
  • Coordinating and tracking workflows and projects through the department and/or organization to ensure paperwork is complete and follow-up services are provided in a timely fashion.
  • Drafting and editing correspondence and other documentation.
  • Completing monthly and year-end revenue and compliance reports and forecasts.
  • Reviewing, analyzing and calculating customer billing data and processing delinquent notices, tampering calculations, adjustments and payment plans on customer accounts.
  • Inputting required information in the Customer Information System.
  • Exercising initiative and judgment to help resolve frequent and complex administrative situations.
  • Conducting research as required and assisting in the tracking and collection of overdue and final accounts.
  •  Handling incoming inquiries from customers and third parties regarding revenue protection matters.
  • Referring inquiries as appropriate to team members.
  • Making appropriate recommendations on issues.
  •  Prepare and distribute investigation reports, memos, and correspondence.
  • Track case files, follow-up actions, and resolution status in centralized databases.
  • Maintain department filing systems (physical and electronic) for investigation records, regulatory documents, and incident reports.Manage and update internal risk logs, spreadsheets, and documentation tools.


General Support of Operations  by:

  • Acting as primary contact for the department.
  • Issuing and maintenance of access cards and keys to individuals as appropriate.
  • Facilitating of clearance forms.
  • Scheduling, coordinating and attending meetings; preparing agendas, taking minutes, and following up as required.
  • Assisting with projects and the development of new strategies to maximize revenues.
  • Preparing purchase requisitions and tracking service orders.
  • Completing expense reports.
  • Tracking daily/weekly/monthly time for the department’s employees and contractors.
  • Providing administrative assistance to team members and liaising with relevant workgroups to resolve any issues related to field and revenue analysis.
  • Responding to a wide variety of customer complaints, requests and inquiries and ensuring the necessary audit or investigation is conducted.
  • Performing other security and revenue related duties as assigned.
  • Completing all annual required training.
  • Providing back-up to other team members as needed, while working in a team environment in a way that is professional, cohesive and respectful in the workplace.
  • Prepare trend analysis and investigative summary reports for internal and external stakeholders.
  • Maintain accurate and up-to-date records of investigations, outcomes, and recovered revenue.
  • Cross-reference billing, metering, and customer service data to identify inconsistencies.
  • Maintaining strict confidentiality and security of sensitive customer and company data.

Academic/Skill/Experience Requirements:

The Risk & Revenue Assistant will have an undergraduate degree in business, management or related field, with a professional certification preferably. They will have three (3) years’ experience providing administrative support, preferably in a utility, revenue protection or compliance-related environment.  They will have the ability to work independently as part of a team.  Knowledge of utility services, billing, finance or regulatory compliance is considered an asset.

They will be highly confidential in nature, well organized, accurate, and attentive to detail. Competent in computer applications including Publisher, Microsoft Word, Excel, Outlook, Desktop Publishing, Microsoft Access and Power Point. They will be able to exchange information with others clearly and concisely, present ideas, facts. Also to be an effective communicator, verbal and written and willingness to assist and support others, with promptness and courtesy.
