Summary/Position Overview:

POSITION OVERVIEW:   

The Shared Services Manager will oversee and coordinate the delivery of functions across the company, including production, purchasing, warehousing, distribution, and financial forecasting services and activities to limit costs and improve accuracy, customer service, and safety.  This role ensures the efficient, cost-effective, and high-quality provision of shared services to various business units, driving process standardization, operational excellence and continuous improvement.

POSITION SCOPE:

The Shared Services Manager demonstrates expert leadership across all facets of the department, including employee training and development, planning, execution and control of department processes.  The incumbent is expected to actively contribute to the formulation of long-term strategic plans, showcasing initiative and creativity in their execution.  Additionally, they are committed to upholding the highest ethical standards, ensuring transparency, fairness, and integrity in all business interactions and transactions within the Business Solutions team.


Duties and Tasks:

Maintain health, safety and environmental standards by:

  • Ensuring compliance with all safety policies and procedures.
  • Ensuring compliance with all environmental and health standards.
  • Ensuring that maintenance and safety procedures are adhered to, and
  • Ensuring the Completion of all required HSE training.

Lead people and accomplish staff results by:

  • Planning, organizing, directing and controlling the workflow of the team.
  • Providing clear direction and sets performance goals that are linked to overall company strategy for direct reports, ensuring accountability of responsibilities and results.
  • Actively engaging in informal and formal performance management processes, ensuring employee goals are aligned to departmental and corporate work plans, providing regular and ongoing feedback, conducting formal midyear and end of year assessments, and supporting employees in drafting career and development plans.
  • Coordinating with members of the procurement organization and other Operating groups to ensure timely delivery of goods and services.
  • Acting as purchasing representative on major projects, and leading purchasing planning effort.
  •  Monitoring and investing in talent development, mentoring and coaching employees for improved performance and career advancement

Seeking and implement continuous improvements to processes by:

  • Leading the development of departmental policies, plans and procedures and providing feedback to leaders and employees on opportunities for development.
  • Liaising between suppliers, manufacturers, and relevant internal departments to ensure all needs for information, materials and resources are met.
  • Liaising with users and other relevant parties and checking costs, quality and levels of service.
  • Conducting supplier audits and visits to ensure reliability and efficiency.
  • Conducting research to ascertain market trends on availability and technology.
  • Maintaining optimal inventory levels; through reducing overstock and stockouts.
  • Analyzing inventory data and generating reports.

Achieve financial results by:

  • Forecasting demand for services, materials, parts and component parts to be used in the Energy, Customer Operations and support departments.
  • Forecasting price trends and their impact on future activities.
  • Developing and managing Purchasing Capital and Expense Budgets.

Achieve administrative results by:

  • Managing multiple priorities in the team.
  • Developing and implementing strategies inclusive of warehouse operations.
  • Managing warehouse inventory and warehouse management systems
  • Maintaining visibility and efficiency in order management processes, including expediting and payments.
  • Maintaining vendor and contract files or databases and using them as reference for the future.
  • Managing Bahamas Customs Declarations, Bond Applications and Brokerage Process.
  • Attending meetings and trade conferences.
  • Expediting and reporting of ordered materials.
  • Providing managerial support to Fleet Operations as needed/when required
  • Completing miscellaneous tasks as required.

Provide technical leadership by:

  • Developing market knowledge and contacts for new products and services.
  • Giving presentations about market analysis and possible growth.
  • Identifying potential suppliers.
  • Evaluating bids and making recommendations based on commercial and technical factors.
  • Negotiating and agreeing on contracts and monitoring their progress.
  • Advising their direct report on matters relating to the department.

Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications and participating in professional societies. Contribute to team effort by accomplishing related results as needed.


Academic/Skill/Experience Requirements:

The Shared Services Manager will have earned a bachelor’s degree or equivalent in Business Administration, Economics, Supply Chain Management or Procurement with at least six (6) years’ experience in the related field with at least three (3) years’ experience in a supervisory or managerial position.  They will be proficient in Microsoft Office (Office, Word, and Excel) and have strong internet research capability

The Shared Services Manager will be self-directed, meticulous, thorough, excel in planning and organization, and effective in communication – both orally and in writing and possess analytical, negotiation and networking skills. Strong background in inventory management, and ERP system proficiency, is a plus. Additionally, they will exhibit confidence and maturity, particularly in the areas of tact and diplomacy with the ability to make important decisions and cope with the pressure of demanding targets and deadlines.

Professional certifications in supply chain or inventory management are considered an asset.
