The Project Assistant provides technical, administrative, and clerical support related to project planning, execution, and coordination in the Energy, Customer Operations, and/or Grid Solutions departments. This role ensures that all project activities (technical & administrative matters, requisitions, maintenance and upkeep of the filing system etc.) are well organized, documentation is accurate and timelines and deliverables are tracked effectively. The Project Assistant helps maintain communication among internal teams, contractors, external stakeholders and contributes to the overall efficiency and success of the projects.
Maintain health, safety and environment standards by: - Ensuring compliance with all health, safety, and environment policies and procedures - Ensuring compliance to and acting as an advocate for the Contractor Safety Management programs, including, but not limited to conducting SWP Training, reviewing JHA’s and Risk Assessments and leading job Briefings. - Completing all required HSE training and leading training as appropriate. Support the efficient execution of projects and task by: • Coordinates the administrative activities and the movement of consultants, contracted employees and technical advisors. • Establish and maintain accurate documentation and an organized record keeping system. • Provides administrative and clerical expertise to the staff, proficient use of office equipment, copy machine, facsimile machine, printers and computers. • Administer and control administrative expenses so as to remain cost effective and within budget. • Proficient in the use of personal computers, facsimile and copy machines. • Excellent knowledge of computer software programs (word processing, database, spreadsheets and graphics) project administrative software and functional with financial software for tracking project cost. • Ability to read engineering drawing and interpret technical information is preferred. • Assist the operation, maintenance, and project group with preparation of presentations, reports and other administrative duties related to projects. • Maintain project dashboards and performance metrics as directed. • Work harmoniously and effectively with peers and in particular with management. • Maintain effective communication with co-workers and upper management. • Work with minimum supervision and commitment to the job.
The Project Assistant will have an associates Degree in a technical subject, preferably in Engineering, Sciences, Architecture, Construction Management or other applicable discipline. Completed courses towards a PMP®, CAPM® or other certification in Project Management is desired. They will have a minimum of five (5) years’ experience providing support for projects in an industrial environment. General knowledge and understanding of Mechanical, Electrical, Plumbing (MEP), buildings, civil and structural disciplines is also desired. Experience with procurement or document control considered an asset.
