Position Overview:

The Executive Assistant is responsible for providing comprehensive administrative support to the Energy Transformation Lead or designee, including calendar management, communication handling, preparing documents, presentations or reports, meeting & travel coordination.


Duties and Tasks:

Maintain health, safety, and environment standards by:

  • Ensuring compliance with all safety policies and procedures.
  • Ensuring compliance with all environmental and health standards, and
  • Completing all required HSE training.

 

Provide Executive Support by:

  •  Serving as the primary point of contact for internal and external personnel on all matters pertaining to the Energy Transformation Lead
  • Providing and maintaining calendar management (organizing meetings, sending calendar invites, reminders, proactively communicating changes, anticipating and responding to scheduling conflicts etc.)
  • Working closely with the Energy Transformation Lead to keep them well informed of upcoming commitments and responsibilities, following up appropriately
  • Tracking tasks and projects to ensure appropriate prioritization of projects with respect to deadlines and organizational developments.
  • Organizing internal and external meetings, including logistical and substantive preparation.
  • Receive and screen phone calls and redirect them when appropriate.
  • Maintaining and organizing confidential files
  • Screening, analyzing, categorizing, and prioritizing mail
  • Assisting with projects, planned and unplanned events. -Conducting preliminary research on a variety of topics; draft materials as needed
  • Tracking and reconciling monthly credit card statements and completing and submitting expense reports in a timely manner
  • Preparing, tracking and compiling timesheets
  • Attending meetings; preparing and compiling agendas; writing notes and preparing minutes & action items; disseminating information, as appropriate.
  • Assisting in coordinating department events and activities.

     

    Support operational efficiencies by:

  • Compiling monthly and year-end reports.
  • Tracking and reporting of departments Balance Scorecard Goals (KPi’s)
  • Communicating, liaising and supporting Energy Transformation Lead’s team as needed and all other related duties, as assigned

Academic/Skill/Experience Requirements:

The Executive Assistant will have an earned Bachler’s degree in Business, Management or related field, professional certification a plus. A minimum of three (3) years' experience as an Executive Assistant; Proficient in office software (e.g. Microsoft Office Suite, Halogen, EAM and other relevant tools). They will have excellent typing, verbal and written communication skills. They will demonstrate discretion, poise, and tact under pressure and handle matters with sound judgement and confidentiality.

They must have a reputation as an honest and ethical employee; be confidential in nature, well organized, accurate and attentive to detail. They will be able and willing to assist and support others promptly and courteously and be able to work with minimum supervision.
