POSITION SUMMARY

This person serves as a first contact for incoming calls to the Maniilaq Health Center. This person must be skilled at telephone customer relations. Responsible for providing Administrative support for MHC Administration personnel: Administrator, Executive Assistant and Division Directors. This position will work directly under the Executive Assistant.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES

  1. Receives telephone calls and greets visitors.Refers callers to appropriate individuals and takes and relays messages and/or provide answers.
  2. Processes incoming and outgoing correspondence. Receives sorts and dispatches incoming mail.
  3. Operates FAX machine, copier, switchboard console, and other office equipment.
  4. Performs general office functions.
  5. Provides clerical support to the Administration personnel.
  6. Prepare and provide an “On-Call List” to the on-call Administrator; Security, Acute Care, and ER departments on a daily basis, including an email distribution to the appropriate personnel.
  7. Assists with preparing a schedule of all MHC conference rooms and meeting locations.
  8. Assists Administrator’s correspondence and forms files.
  9. Assists in the compilation of division payroll timesheets. Distributes paychecks/direct deposit notices to appropriate managers or employees.
  10. Will log all incoming checks on a daily basis.
  11. Maintains a Disaster Plan List and distributes to appropriate Department Managers.
  12. Prepares monthly/yearly appreciation for employees.
  13. Prepares travel arrangements for all Administrative personnel.
  14. Other duties as assigned.
Job Qualifications:
MINIMUM REQUIREMENTS
Administrative Receptionist I: (Range 10)
High School Graduate or equivalent or a minimum of 1 year experience in a clerical/secretarial work field. Ability to operate switchboard equipment.  Must be able to answer phones and communicate clearly.  On-the-job training will be provided.

Administrative Receptionist II: (Range 11)
High School Graduate or equivalent. Must have at least one year experience in clerical/secretarial work field. Ability to type well enough to accomplish job duties. Must have computer word processing experience. Knowledge of various office equipment (i.e. fax machine, copier) is required.
