POSITION SUMMARY

 

The Senior Executive Manager provides high-level administrative support for the Maniilaq Board of Directors working closely with Office of the President and the Vice President of the organization. This position organizes the Board of Director regular quarterly meetings and special meetings called by the board including preparing board packets, helping with meeting logistics, and development of meeting minutes.   The Senior Executive Manager also assists with coordinating board travel for meetings and conferences.  This position will work independently on projects and must be able to work on a wide variety of activities and confidential matters with discretion. The Senior Executive Manager reports directly to the President/CEO.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES

  1. Works closely with and provides high level administrative support to the Board of Directors.
  2. Executive level support may include, but is not limited to, compiling reports, drafting correspondence, emails, preparing packets, presentations, and meeting minutes.
  3. Maintains a high-level of customer service when interacting with board members.
  4. Manages or participates in various projects as assigned.
  5. Supervises the Executive Assistant and other administrative support personnel within the Office of the President.
  6. Meeting support includes, but is not limited to, board, committee and Maniilaq Executive Leadership Team meetings.
  7. Performs multiple clerical duties for the Board of Directors, which includes meeting preparation, maintain corporate files for the Board, and post-meeting document updates.
  8. Arranges travel for the Board of Directors and travels, when necessary.
  9. Manages and coordinates the Board of Directors Orientation and Administrative Retreats.
  10. Processes invoices and credit card statements for the Board of Directors and President/CEO.
  11.  Develops and manages the Board of Directors and Office of the President budgets.
  12.  Assists with timesheets as delegated.
  13. Responsible for general upkeep, cleanliness, general office equipment and supplies for the FR Ferguson Building.
  14. Manages schedules related to OFP.
  15. Assists clients and visitors with clerical support as needed.
  16. Assists in reviewing and processing incoming donation requests.
  17. Performs other duties as assigned.
Job Qualifications:

MINIMUM REQUIREMENTS

High school diploma or equivalent. Minimum of seven (7) years of relevant work experience in tribal, state and federal government affairs and directly supporting senior level executives. Demonstrated proficiency in Microsoft Office (Word, Excel, PowerPoint, and Outlook) and Box. Verbal and written communication skills. Exceptional organizational skills, impeccable attention to detail and ability to multitask. High degree of professionalism in interacting with diverse groups of people. Able to maintain a high level of integrity and discretion in handling confidential information. Supervisory experience and project management experience preferred.
