POSITION SUMMARY

Provides administrative support to the Office of the President (OFP) including those activities that support the planning and execution of activities and tasks associated with Board of Director meetings. Assists other departments under the Administrative Division as needed and as time allows. Reports directly to the Senior Executive Manager.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES

1.    Becomes knowledgeable and proficient in the activities and tasks associated with Board of Director meetings in order assist the Senior Executive Manager (SEM) with said meetings and be a back-up as needed.

2.    Able to assist with taking minutes during regular board meetings as needed.

3.    Provides clerical support for the OFP and other Administrative departments as needed and as time permits.  Takes direction from the SEM on specific roles and responsibilities.

4.    Assists in the maintenance of all information in Box (the software used for content management and filing sharing during Board of Director meetings).

5.    Creates travel requisitions, check requisitions, purchase requests as needed for OFP and other Administrative departments as needed.

6.    Assists with community outreach activities as needed and approved by the SEM.

7.    Assists the Vice President in managing the communications associated with donation requests received by the OFP.

8.    Performs office work directly related to general business operations as assigned.

9.    Monitors office supplies and orders supplies as needed.

10. Takes calls from community members directs inquiries to the appropriate staff/department.

11. Demonstrates exceptional customer service skills and is accountable for a positive customer service attitude at all times.

12. Performs other duties as assigned by supervisor.

Job Qualifications:

MINIMUM REQUIREMENTS

High school diploma or equivalent. Five years relevant work experience. Excellent communication skills. Proficient in Microsoft Word and Microsoft Excel. Must have an Alaska Driver’s license with a driving history that meets the requirements to be insured by Maniilaq Association vehicle insurance. Must be able to type 45wpm. Must be detail oriented and able to work in a professional, courteous and efficient manner. Physically able to lift up to 50 pounds, sit, or stand for prolong periods of time.
