POSITION SUMMARY
This position will provide executive administrative support services and perform accounting data entry duties to the CFO, Controller, and Senior Accounting Staff. Job duties will include filing, phone calls, accounting data entry and office organizational services. This position allows the employee the opportunity to advance within the accounting career ladder. This position requires skills and knowledge to perform a specific area of accounting functions such as AP, Payroll, Cash Receipts, Billing and General Journal transactions without supervision. This position requires basic knowledge of the Association’s Financial Authorization Process applicable in data entry and fund disbursement and the Finance division’s Policy and Procedures. It also requires basic documentation and filing and organization skills. This position will report directly to the Controller.
PRINCIPAL DUTIES AND RESPONSIBILITIES
1. Perform accounting data entry duties in the Finance department and other duties assigned by supervisory staff:
a. Work with AP Staff for daily AP Voucher Processing and fund disbursement.
b. Work with Payroll Staff for the payroll processing and fund disbursement.
c. Organize and maintain the financial data file, employee and MBOD file.
d. Perform special (financial) duties assigned by supervisory staff.
e. Performing General Ledger Maintenance.
f. Processing cash receipts.
g. Processing billing.
2. Provide clerical support to CFO, Controller and Senior Accounting personnel;
3. Maintain schedules of CFO and Controller for use in meeting, deadline reminders and setting up appointments
with staff and customers; must deal with the public and staff in a respectful and courteous manner.
4. Maintain administrative filing system and send correspondence.
5. Assists with Finance filing system.
6. Performs special projects as assigned.
7. Able to organize, create, and maintain own file system to document the positions performance in accordance with annual single audit requirements.
8. Assist Accountants with audits
9. Perform any duties assigned from Chief Financial Officer or Controller.
10. Exercises no supervisory duties unless specifically delegated by Chief Financial Officer.
MINIMUM REQUIREMENTS
ACCOUNTING TECH I (Range 11)
High school diploma or equivalent. Ability to lift to 40 Ibs and sit for prolonged periods of time. Minimum six months experience in any accounting system preferred. Basic spreadsheet experience required (Excel, Lotus, or Quattro).
ACCOUNTING TECH II (Range 12)
Meets requirements of Accounting Tech I position. Minimum one year experience in Accounting Tech I position or can perform those duties without supervision - can be replaced by AP or Payroll experience from other accounting system similar to Maniilaq Association, if deemed equivalent. Intermediate level of spreadsheet knowledge. Basic knowledge of Maniilaq’s HR and Financial Policies and Procedures.
ACCOUNTING TECH III (Range 13)
Minimum six month experience in Accounting Tech II position or can perform more than two accounting duties without supervision - can be replaced by AP or Payroll experience from other accounting system similar to Maniilaq Association, if deemed equivalent. In- Depth knowledge of Association's HR and Financial Policies and Procedures.
