POSITION SUMMARY

Responsible for providing administrative support for the Audiology and Physical Therapy Nursing Providers. Responsible for assisting patients with questions, appointments, referrals, etc. Reports to the Outpatient Services Manager.

 

PRINCIPAL DUTIES AND RESPONSIBILITIES

1.                   Carries out reception duties including receiving, screening, and forwarding incoming phone calls, and prioritizing and passing on information for Audiology and Physical Therapy departments.

2.                   Performs clerical duties as required to support Audiology and Physical Therapy, including typing letters, faxing and copying.

3.                   Maintains files in a secure and organized manner follows HIPPA.

4.                   Works with Specialty Clinic staff in scheduling ENT/Audiology clinic appointments.

5.                   Submits Medicaid certificates of medical necessity, insurance, prior authorizations, in a timely manner, monitors and follow up on their status.

6.         Responsible for completion of check requisitions, purchase orders, ordering supplies for Audiology and Physical Therapy.

7.         Works with Audiology providers during village clinic and corresponding clinic with scheduling of appointments

8.         Track and maintains log on the sending and receipt of hearing aids to HA manufacturer and return to Maniilaq: new orders, repairs, loss and damages, etc.

9.         Assists with the referral process, including patient travel, for Audiology and Physical Therapy departments.  

10.       Responsible for sending Audiology and Physical Therapy with appointment letters and travel worksheets as directed.

11.       Works with Tribal Vocational Rehab program when they request billing statements, visit notes etc.

12.                Completes hearing aid purchase agreements prior to patient’s hearing aid fitting appointment.

13.                Facilitates accounts payable with Maniilaq finance.

14.                Works with provider on pre-completed forms for VA & Indian Health Services hearing aid contract periods which is May and November of each year.

15.                Responsible for paperwork associated with hearing aids. Scans the paperwork to the patients chart with the appropriate title.

16.                Attention to detail is a must for hearing aid order forms, hearing aid purchase agreements, and billing statements, etc.

17.                Proficient in use in Cerner or current Electronic Health Record.

18.                Knowledgeable of appropriate information from the patient record that should be included with referrals.

19.                Manage assigned queues/pools for Audiology and Physical Therapy.

20.                Duties as assigned.

 

Job Qualifications:

MINIMUM REQUIREMENTS

Case Management Support I:  High school diploma or equivalent plus 6 months previous health service experience preferred.  Must be willing to complete Medical Terminology course and receive certification within 12 months of hire. Knowledge of Cerner EHR system preferred. Ability to utilize various computer programs and type well enough to carry out job duties efficiently.  Must be able to maintain strict confidentiality following HIPPA at all times.  Requires good interpersonal and communication skills.  Requires strong organizational skills and ability to maintain file systems. Requires excellent customer service skills and telephone etiquette. Cerner and Revenue training required. Medicaid travel training required. AFHCAN training required. MHC Travel department observation training. Able to utilize tiger text to communicate with MHC and ANMC teams.

 

Case Management Support II:  In addition to Case Management Support I requirements:

Medical Terminology certification required. 6 months of Cerner or current EHR experience required. Maintains professionalism with coworkers, staff, and patients. Requires exceptional attendance able to work independently and efficiently. Attend weekly team meeting with case managers, providers, CHAP and village clinic staff. Able to process all referrals. Able to cover all areas as needed including the appointment desk, or other case management support positions. Able to schedule all MHC appointment types. Able to schedule village appointments and send appropriate travel information.
