POSITION SUMMARY

Responsible for all billing for the Maniilaq Counseling & Recovery Center (MCRC) program and follow up on claims and accounts. Provides clinical staff with information for submitting claims for services that are in compliance with regulation. Works closely with Behavioral Health Services supervisors to develop and distribute reports to staff and management on documentation and claim's status. Participates in data collection, processes, and maintain claims information using the current tracking system. This position reports directly to Quality Assurance Supervisor.

PRINCIPAL DUTIES AND RESPONSIBILITIES

1.   Reviews and enters claims billing on a daily basis for all clinical services rendered by MCRC. Ensures all claims billing sheets have required data to bill.

2.   Processes all claim for services using the State of Alaska data information system (AKAIMS) to verify accuracy.

3.   Check claims for errors, correct errors and resubmits claims to AK Billing or current billing agent. Report monthly billing to Director of Behavioral Health or designee.

4.   Maintains all claims billing record keeping documents appropriately by Federal, State, HIPAA rules and regulations.

5.   Responsible for processing billing through AK Billing for Putyuk House on monthly basis including verification that documentation is accurate and tracking to ensure that service authorizations are current.

6.   Process Service Authorizations for all Putyuk House residents over 5 years of age on a monthly basis.

7.   Investigates any probable discrepancies and works with appropriate people to ensure accurate billing.

8.    Complies information for tracking purposes and reports to management including monthly audits of charges billed, revenue received, and any claims that are denied.

9.   Manages and maintains training records for Relias and other trainings attended by Maniilaq Counseling and Recovery and Putyuk House staff.

10.   Maintains tracking system for Orientation and trainings required, conducted and attended for Behavioral Health Staff.

11.   Works closely with Treatment Supervisor to track Behavioral Health Aide (BHA) training and certification documentation.

12.   Collects needed data and maintains timeline requirements for CARF National Accreditation. 

13.   Develops and Distributes AKAIMS reports to track clinical documentation requirements using AKAIMS Report manager.

14.   Assign and maintain documentation regarding NPI numbers for all clinical staff.

15.   Maintain an organized filing and tracking system for documentation.

16.   Acts as the alternate resource staff for BHS to help clients sign up for Medicaid as needed.

17.   Produce reports for clinical staff to show areas that need to be addressed to ensure regulatory compliance and meet agency requirements.

18.   Assist Quality Assurance Supervisor in compiling materials for training clinical staff.

19.   Maintains confidentiality of all client information as per state and federal regulations, Maniilaq policies, MCRC policy and procedures, and staff code of conduct.

20.   Provide training in current billing practices to staff upon request by supervisor.

21.   Attend trainings regarding new billing practices provided by Maniilaq Health Center, State of Alaska.

22.   Division of Behavioral Health, AK Billing and others; distribute the information and provide training to appropriate agency staff. 

23.   Appropriately recognizes, maintains, and demonstrates discretion in handling and maintaining HIPAA.

24.   Has knowledge of and complies with state and federal regulations and Medicaid guidelines. 

25.   Performs other duties as assigned to ensure that the work in the program is completed in a timely manner.

Job Qualifications:

MINIMUM REQUIREMENTS

Billing Coordinator I:

High school diploma or equivalent. Minimum of 1 year of previous billing experience or other business office experience. Possess computer experience with knowledge of Microsoft Work for correspondence and development of tables and Excel for reports, development of spreadsheets, claims and other documentation.

Billing Coordinator II:

Meet all the requirements of the Billing Coordinator I, plus have a related Associate’s Degree or 3 years of diverse billing experience. Proficient  using  State  of  Alaska  Management Information  System  (AKAIMS)  to  review  claims   billing for accuracy and regulatory and agency  compliance  and  AKAIMS Report Manager for producing  and  distribution  of routine and ad-hoc reports to clinical staff and management.  Must be able to demonstrate the ability to create new and more efficient ways to stream line processes for billing. 

Billing Coordinator III:

Meet all of the requirements of the Billing Coordinator II, plus have a related Bachelor’s degree or 5 years of diverse billing experience.  Must have at least 1 year of experience working in a Tribal Behavioral Health Program.
