Summary:

MedSpring Urgent Care seeks a talented Human Resources Assistant.  The successful candidate will be a member of the Human Resources Team reporting to the Vice President, Human Resources.   The human resource assistant will be responsible for performing HR-related duties on a professional level and works closely with the HR team.  This position carries out responsibilities in the following functional areas: benefits administration, recruitment/employment, rewards and recognition, compliance and other administrative duties as assigned.  The HR Assistant will partner with the HR team to ensure the successful on-board of new hires and act as the first point of contact for HR related issues.  The HR Assistant will partner with other members of the HR team to ensure we’re creating a positive work environment, managing change as the company continues to grow and evolve and will be the lead on several key projects.

Job Qualifications:

Key Duties and Responsibilities

  • Maintains master employee database and associate files.
  • Tracks all training and licenses to ensure compliance with state and local guidelines.
  • Prepares associate files for onboarding and orientation.
  • Verifies I9 documents and forms in both electronic and paper form.
  • Creates and distributes email announcements to new employees.
  • Prepares and processes new hire documents.
  • Monitors, records, and reports all pre-employment screenings.
  • Performs electronic and paper employment record file audits, identifies deficiencies, and collaborates with associates to update and maintain current information.
  • Supports HR team in communication, collection, analysis, and documentation of introductory, semi-annual, and annual performance evaluations.
  • Coordinates benefit administration through processing of insurance enrollments, terminations, and changes while responding to employee inquiries.
  • Partners with payroll to complete verifications of employment in a timely manner. 
  • Develops and maintains affirmative action program; files EEO-1 report annually; maintain other records, reports and logs to conform to EEO regulations.
  • Participates in administrative staff meetings and attends other meetings and seminars.
  • Assists with maintenance of company organization charts and the employee directory.
  • Assists in evaluation of reports and results of department in relation to established goals.
  • Maintains compliance with federal and state regulations concerning employment.
  • Performs other related duties as required and assigned.
  • Assist new associates in training as requested.
  • Scheduling interviews, making travel arrangements, etc.
  • Data entry into ATS (Cyber Recruiter).
  • Set up meetings and conference calls for VP HR and Regional Dir. HR.
  • Create and monitor offer letters.
  • Adhere to tight deadlines.
  • Communicate with leaders regarding candidate status in a timely and professional manner.

Professional Experience/Qualifications

The ideal candidate demonstrates a high level of experience and proficiency in the following areas:

  • Minimum one (1) one year HR experience preferred.
  • Exceptional internal and external customer service skills.
  • A positive, energetic, and inspiring attitude.
  • Communicates easily with individuals throughout the organization.
  • Comfort with the ambiguity of a high-growth environment and, consistent with an early stage company, willing to pitch-in as needed to make the team successful.
  • Possess excellent organizational and administrative skills.
  • Ability to communicate effectively, balance multiple responsibilities, set priorities, and solve problems.
  • Strong proficiency in Microsoft software products such as Outlook, Word, PowerPoint and Excel.
  • Ability to work overtime, as needed.
  • HR coordination / administrative experience preferred.
  • Effective oral and written communication skills.
  • Professional maturity.
  • Ability to work independently and set personal goals, tasks and strategies.
  • Sufficient manual dexterity and physical ability required to perform assigned task.

 

Physical Demands:

  • Ability to lift 15-30 lbs.

  • Required to move from one location to another within and outside of the building; push, pull and reach; bend; stand for long periods of time; and sit for long periods of time.

  • Must be able to speak and write English fluently

Education

  • Bachelor’s degree preferred
  • SHRM Certification preferred but not required

Compensation

A competitive compensation package including base salary, bonus program and full employee benefits is offered.


Schedule:
Standard work week schedule. Monday - Friday, normal business hours.
In order to be successful in this role an occasional after hours and weekend work may be required.
