The Employee Services (HR) – Payroll Specialist is responsible for accurate, compliant, and timely payroll processing as well as
providing general HR operational support to VNA’s Employee Services team. This position also has responsibility to provide
employees with day-to-day HR support covering a wide range of topics, from answering general questions regarding payroll, employee
benefits and policies. Responsibilities are carried out in a positive manner with a focus on creating a work environment where
employees feel respected, cared for and well-informed.
Responsible for accurate and timely processing of bi-weekly payroll cycle.
Responsible for the preparation of data and input to process payroll. This includes the following: verifying Time and Attendance electronic timekeeping records and preparing export to payroll; entering into timekeeping and/or payroll system all adjustments to pay and reimbursements; preparing batch totals for data entry; maintenance of a filing system for payroll documents; maintenance of payroll files on each employee and assisting in the maintenance of personnel records.
Responsible for New Employee Set up in Time and Attendance, new information into HRMS, track that all paperwork was received (such as new hire info, benefits, and terms of employment).
Responsible for regularly verifying accuracy of employee records in payroll and timekeeping software, including but not limited to reporting structure, department coding, pay rates, time off accruals, Workers Comp coding, etc.

Collaborate with the AVP of Employee Services and Finance department for the monitoring and review/audit for annual compliance testing on 403b and pension plans and preparation of the annual pension contribution in accordance with Plan documents.
Responsible for payroll filing system and records retention policies and procedures and destruction in accordance with organization policy.
Partner with appropriate parties for implementing technical, regulatory and/or procedural changes as necessary. Collaboration with the Finance department to assist with the preparation and distribution of reports to management and preparation of required documentation upon request.
Partner with the Payroll Accountant to ensure accuracy of allocations and accountability regarding time and expense allocations to grand funders. Audi allocations of time and expense to programs and grants to ensure accuracy of allocations and accountability to grant funders by activating features in payroll or timekeeping software, assisting with time studies, and other means.
Responsible for compliance with all Federal and State requirements related to payroll and Wage and Hour Law, and for the preparation of data and input to process payroll. This includes the following: Payroll entries such as expense reports; benefit catch up/changes; adjustments (Retro, bonuses); terminations (benefits/PTO); time logs.
Assist in preparing various payroll reports – FTE/VP reports, Epic and updates, Sage Time and Attendance hours report.
Follows established guidelines for use and/or disclosure of protected health information. Employees should report any breaches of the Health Insurance Portability and Accountability Act (HIPAA) rules to the Privacy Officer (Vice President of Patient Services) immediately. Failure to comply with HIPAA policies and procedures will result in disciplinary action, up to and including termination of employment.

Compensation and Benefits: Base Salary Range: $50,000 - $60,000 annually, depending on years of experience. Incentives: Earn up to $500.00 quarterly based upon meeting productivity goals.
