Job Responsibilities:

Position Summary: This position assists and supports the daily operation of the youth crisis stabilization facility through a variety of clerical and administrative support functions.

 

Essential Functions:

  • Greet all guests entering Youth Crisis Stabilization Facility including but not limited to; youth, caregivers, family members, county and crisis staff, and professionals.
  • Provide customer service by answering phone calls during business hours to provide information and transfer calls.
  • Provide clerical support to the YCSF program and staff.
  • Responsible for ordering all supplies for YCSF including but not limited to; food, basic youth needs (clothes, hygiene, etc.), cleaning supplies, office supplies, and all other supplies needed for a 24-hour care center.
  • Monitor and schedule contracted cleaning company.
  • Responsible for the maintenance and service of the program’s vehicles.
  • Receive and put away deliveries for program supplies.
  • Support hiring process by scheduling interviews, greeting candidates, printing interview packets, and completing new hire forms.
  • Preparing materials for staff trainings, meetings and other printing needs.
  • Monitor building cleanliness (including common areas, resident rooms, and exterior of building) repair list, and organization within the center through daily checklists.
  • Support scheduling building repairs and communication with facilities team.
  • Monitor room reservation system and be central contact for all room reservations
  • Support quality assurance functions to ensure the program remains in certification compliance with DHS 50 in all areas.
  • Update and monitor records in online database, SecurManage, to support residential care staff in printing and obtaining records, auditing records, and orientating staff to the database.
  • Schedule training and enter staff training records in online training database.
  • Support staff remain in compliance with all WCS policies and procedures.
  • Develop tracking and monitoring systems to monitor compliance and add efficiencies to center’s operations.
  • Uphold and promote a positive and supportive culture for youth and staff.
  • Maintain client confidentiality within all written and verbal communications
  • Adhere to state licensing requirements.
  • Adhere to WCS Policies and Procedures.
  • Other duties as assigned.

Job Qualifications:

Knowledge, Skills, and Abilities:

This person must have exceptional customer service and clerical skills.  Must possess exemplary verbal and written communication skills, along with strong computer skills that include Microsoft Word, Excel, and database applications.  Requires being good at detail work and utilizing analytical and problem-solving skills.  Ability to multitask, organize, and assist others to implement procedures and practices.  Must be sensitive to cultural, ethnic, and disability needs. 

 

Minimal Qualifications:

  • Minimum of a high school diploma or equivalent.
  • Two years minimum of clerical or customer service experience.
  • Strong computer skills including typing and ability to use Microsoft programs, databases, etc.
  • Advanced organization skills.
  • Ability to display cultural competence by responding respectfully and effectively to people of all cultures, languages, classes, races, ethnic backgrounds, religions and other diversity factors in a manner that recognizes, affirms and values the worth of people.
  • Valid driver’s license, automobile, and insurance sufficient to meet agency requirements.
  • Meet all the employee requirements including references, criminal background check, drug test, and driver’s license check.
 
Other Job Information (if applicable):

Work Relationship and Scope: Reports directly to the Assistant Program Director.  Interacts with all staff in the program. Direct interaction with youth, family members and other professionals.

Working Conditions: Work is performed in a youth residential treatment setting. Must be comfortable being around and/or interacting with youth. Flexible work schedule may be required.  Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions.

 

Physical Demands: May require sitting at a desk and/or computer for two or more hours at a time. Requires significant computer work. Driving for the position is required.
